How to write a charger RFQ that gets an accurate quotation the first time

Most charger quotations come back with a range instead of a number because the RFQ left out five details. Here is the specification sheet that gets a costed answer in one round.

Quotations come back vague for one reason: the request did not contain the details that change cost. A charger is a small product with a lot of cost drivers, and most of them sit outside the electronics.

The five details that decide the price

Wattage and port layout. Not “a fast charger” — 65W with 1A1C, or 100W with 2A2C. The port mix is fixed at tooling, so it is a cost decision, not a configuration option.

Plug types and destination markets. EU, UK, US and AUS from one body means a modular plug system; a single market means a fixed plug, which is cheaper. The destination market also decides which certificates are needed, and certification is quoted separately because it is per market.

Quantity for the first order and a realistic annual volume. Unit cost falls with volume; a quotation that assumes a container when the buyer intends a trial order is wrong from the first line.

Branding scope. Logo only, or logo plus colour, finish, cable, pouch and full retail carton? Each layer adds tooling, print plates and artwork time.

Packaging format. Plain brown box for distribution, retail carton for a shelf, or marketplace-ready with barcode, FNSKU label and a carton that survives shipping on its own.

What to include about the device

Say what the charger has to feed: a specific laptop model, a phone generation, a tablet, a docking station. This is not padding — a 45W platform that has to hold its output for a laptop may need to move up a power band, and that is a real change in both cost and certification scope.

The commercial terms worth stating up front

Incoterm (FOB, CIF or ex-works), payment terms you are expecting, the port of destination, whether you need the reports with the shipment, and the target launch date. A supplier who knows the launch date can tell you whether the schedule is achievable before you start, which is the most useful sentence in any quotation.

What a good reply looks like

One page: recommended platform, port and plug configuration, tooling and print costs listed separately, unit cost at two quantities, sample date, production lead time, certification scope for your markets, and the MOQ for a branded first order. If any of those is missing, the answer is a range pretending to be a price.

A note on comparing quotes

Two quotations are only comparable if the specification is identical. Carton quality, cable rating, certification scope and packaging labour are the four places where a cheaper quote is usually cheaper — and the three places where the difference shows up after delivery are carton damage, cable failures and a certificate that does not cover the country you are selling in.
