How far ahead should we order branded chargers for the Q4 retail season?

Work backwards from the date stock must be on shelf: retailer check-in, freight, inspection, production and sample sign-off. Most of the slack is lost before production starts.

How far ahead should we order branded chargers for the Q4 retail season?
The question

We supply a branded 100W charger and a gift-boxed wireless charger to retailers for Black Friday and Christmas. Last year stock arrived late. How far ahead should we place the order this year?

Main answer · Wecent Editorial Team

Short answer: Work backwards from the date stock has to be available for sale, not from the factory lead time. Add retailer receiving, freight, customs, inspection, production and sample sign-off, then add a peak-season buffer. For sea freight from Shenzhen to Europe or the US, that often means approving samples in early summer. Confirm the current production lead time with Wecent.

Build the timeline backwards

  1. On-shelf or marketplace live date. For Black Friday, many retailers want stock weeks before.
  2. Retailer or warehouse receiving. Ask how long check-in takes in peak season. It’s often longer than normal.
  3. Customs and inland delivery. Allow for peak-season port congestion.
  4. Ocean or air freight. Sea freight from South China to Europe or the US East Coast takes several weeks; air is days but costs much more.
  5. Pre-shipment inspection and booking. Inspectors and vessels are busy in autumn.
  6. Production. Wecent’s product pages state mass production 7–15 days after sample sign-off for standard customisation; confirm for your quantity and packaging.
  7. Sample sign-off. Branded samples may need two rounds.
  8. Packaging print and materials. Gift boxes can take longer than the product itself.

Where projects lose time

  • Artwork approvals that take weeks of internal review.
  • Late changes to the box or colour after sample approval.
  • Documents for a new retailer that weren’t requested in time.
  • Booking freight after production is finished, not before.

Peak-season buffers

Add buffers at freight booking and receiving, where peak-season delays are largest. Chinese public holidays also matter: the Golden Week holiday in early October slows production and logistics, so stock should ideally be finished or shipped before it.

Reorders during the season

If sell-through is strong in November, a reorder rarely arrives in time by sea. Decide in advance whether a reorder would go by air.

Splitting the order

A common approach is to ship the main quantity by sea early and keep a smaller air-freight top-up for a late surge. That needs a production slot reserved for the top-up. Agree it with the factory in advance.

A checklist for this year

  1. Fix the shelf date with each retailer.
  2. Book inspection and freight slots as soon as production dates are known.
  3. Finalise artwork and documents before samples are signed off.
  4. Agree with Wecent on production start, holiday closures and an optional top-up slot.

Three more perspectives

Wecent Editorial Team · Purchasing perspective

Reserve the production slot with a deposit early in the year if volumes are large. In peak season, factories fill capacity in order of confirmed orders. A forecast alone doesn’t hold a slot.

Wecent Editorial Team · Compliance/QC perspective

New retailers often send their own supplier requirements, such as test reports, labelling rules and packaging-waste data. Ask for them in spring. Finding out a requirement in October means a re-label or a missed season.

Wecent Editorial Team · After-sales perspective

Peak season brings more first-time buyers and more support questions in January. Prepare FAQs and replacement stock before the season, not after the holiday returns arrive.
