Charger Sample Lead Time: Comparing What Each Sample Proves

A brand waited three weeks for a sample that proved the design and nothing about the process, then lost two more weeks on the branded sample it actually needed for approval. The samples had been requested in the wrong order, and the delay was the order rather than the factory.

Sample lead time: the four sample types and what each one proves

Engineering, branded, packaging proof and golden sample, with the pilot as the production rehearsal rather than a sample.

Each type answers a different question and consumes a different amount of time. The engineering sample validates the design; the branded sample validates artwork on the real surface; the packaging proof validates the assembled carton; and the golden sample is the retained reference after everything else is approved.

Lead time is therefore not one figure either. It is the sum of the samples the programme genuinely needs, and the art is deciding which of the four the configuration requires and which can be closed from existing records.

Type 1: the engineering sample

Proves the design against the specification.

On a platform programme the engineering sample is often unnecessary, because the design is already in production and its behaviour is documented. Where the configuration includes a change inside the tested envelope, a sample may still be required to confirm the delivered behaviour. Its lead time depends on whether the unit can be built from stock or has to wait for a specific component.

Type 2: the branded sample

Proves the finish, the mark and the colour on a physical object.

This is the sample that most approvals actually need, and it cannot be replaced by a rendering. Its lead time depends on the printing or marking method and on the artwork being frozen, so approving a mark on screen and requesting the sample afterwards adds both steps in series. Colour and finish approval should happen on this unit, with the retained reference kept afterwards.

Type 3: the packaging proof

Proves the assembled carton, not the flat artwork.

The insert, the accessories, the language versions and the print interact in three dimensions, and the carton dimensions feed the pallet pattern. The proof should be an assembled pack; a flat PDF cannot show whether the insert collides with the accessory or whether the back panel is legible in the chosen size. Its lead time starts when the label content is frozen.

Type 4: the golden sample and the pilot

One is the reference, the other is the rehearsal.

The golden sample is retained after the branded and packaging approvals, signed, with the artwork revision recorded against it. The pilot is a production run of a defined size intended to verify the fixture, the limits and the packing process. They answer different questions, and a programme that treats the pilot as the golden sample has no production reference to measure against.

Type Lead time driver What it proves Who signs
Engineering Component availability and assembly The design meets the specification The technical owner
Branded The marking method and frozen artwork Finish, mark and colour on the surface The brand’s designer
Packaging proof Frozen label content and print setup The assembled carton and its fit The brand’s owner, with the printer
Golden sample and pilot Production schedule and rack capacity The process repeats at production rate Both parties

Why the second sample loop is the expensive one

A second loop consumes the same time as the first and delays everything behind it.

Loops usually come from approving the wrong thing: a colour judged on screen, a mark position approved without the curvature, a carton approved as a flat file. Each sends the programme back to the studio or the printer and pushes the production slot, which may have to be rebooked. Preventing a second loop is cheaper than shortening the first.

Running the samples in parallel where they allow

Two of the four can overlap; two cannot.

The branded sample and the packaging proof can progress at the same time once the label content and the artwork are frozen, because they use different suppliers. The engineering sample has to precede any change that affects the assembly, and the golden sample depends on everything else. Sequencing them correctly shortens the sample stage without shortening any individual step.

Where the sample lead time is actually spent

The lead time is spent on the items that have to be made rather than on the ones that have to be chosen. A stock unit takes days; a printed film, a new finish or a marking tool takes weeks.

The second element is the approval cycle, because a sample approved late moves the print slot with it.

A programme that confirms the marking method and freezes the artwork before ordering the sample removes most of the wait.

FAQ

Do we need an engineering sample for a platform build?

Often not, because the design is already in production. Where the configuration changes something inside the tested envelope, a sample may be required to confirm the delivered behaviour, and its lead time depends on component availability. Ask what the sample has to confirm. The platform’s existing evidence covers the design, and the sample covers the configuration being quoted and the behaviour it delivers.

How long does a branded sample take?

The driver is the marking method and the artwork being frozen. A pad print or laser mark on a stock unit can be produced quickly; a new in-mould decoration or a custom finish adds a printed film and a tooling change. Ask which of the two the finish requires, because a pad print on a stock unit is quick while a printed film or a new finish adds a tooling step.

Can the packaging be approved from a PDF?

Not reliably. The insert, the accessories and the language versions interact in three dimensions, and the carton dimensions decide the pallet pattern. Approve an assembled proof. The insert, the accessories and the language versions interact in three dimensions, and the carton dimensions decide the pallet pattern, so an assembled proof is approved. so the assembled proof is what is approved.

What is the golden sample for?

It is the retained reference for the finish, the mark and the packaging, with the artwork revision recorded against it. It is what a later production batch is measured against when a dispute arises. Ask for the artwork revision to be recorded against it, because the retained unit is the reference a later batch is measured against when a dispute arises about the finish or the mark.

Send the configuration, the branding level and the market list to Wecent Group through the contact page. The reply states which of the four samples the configuration requires, the lead time for each and which two can run in parallel.
